After planning more than 700 Queenstown weddings, these are the biggest budgeting mistakes we see, along with some of our favourite ways to make your budget work harder.

The number of guests has the biggest impact on your wedding budget. It’s not just the catering that increases—larger guest lists also affect seating, furniture, tableware, florals, transport, stationery, favours and often even the size of venue you’ll need.
Money-saving tip: Before choosing your venue, take the time to carefully consider your guest list. Even reducing numbers by 10–20 guests can make a significant difference to your overall budget while creating a more intimate celebration.
- Falling in Love With a Venue Before Understanding the Full Costs
It’s easy to compare venue hire fees, but they rarely tell the whole story. Some venues include furniture, tableware, heating/lighting and/or wet weather options, while others require you to hire almost everything separately.
A venue with a lower hire fee isn’t always the more affordable option once all the additional costs are considered.
Money-saving tip: Ask for a complete estimate before making your decision. Looking at the total cost—not just the venue hire fee—often gives a very different picture.
- Leaving Accommodation and Guest Transport Too Late
Queenstown is one of New Zealand’s most popular destinations, and accommodation can book out quickly, particularly during summer and major events. Waiting too long can leave guests paying significantly more or having limited options.
Money-saving tip: Encourage guests to book accommodation as soon as they’ve received their invitation or save-the-date. Reserving your guest transport early can also provide greater choice and potentially better pricing.

In our experience, guests rarely remember the napkins or charger plates—but they almost always remember the atmosphere, the food and the people they celebrated with.

The smaller items can quickly add up. Marriage licence fees, vendor meals, cake cutting, travel fees, additional hair and makeup appointments, and wedding party transport are all commonly overlooked.

Weekend demand is highest on Saturdays. If your guests have some flexibility, a Friday or Sunday celebration may provide greater venue and supplier availability and, in some cases, lower costs.
Consider the Shoulder Seasons
Spring and autumn offer beautiful scenery while often avoiding the busiest tourism periods. You’ll still enjoy incredible Queenstown landscapes with the added benefit of greater availability.
Repurpose Your Florals
Ceremony arrangements can often be moved into your reception, allowing one investment to create impact in multiple locations.

Keep Your Timeline Efficient
Extending your wedding day can increase staffing, venue and supplier costs. A well-planned timeline often creates a better guest experience while helping manage your budget.
